One platform for every load: what Zaylo brings to freight forwarders

Zaylo puts the whole life of a load on one platform, from the first request to the paid invoice and anything that goes wrong after delivery. It's built for small freight forwarders and brokers who are currently running their operations on different tools.

Why one system matters

A single load passes through a lot of hands. Someone takes the request, someone collects carrier prices, someone sends the proposal, signs the contracts, books the truck, chases the paperwork and sends the invoice. When each of those steps lives in a different tool, the same details get typed again and again, and the full picture of a shipment only exists in someone's head.

Running everything in one system changes that in a few practical ways:

  • Enter it once. Addresses, weights, dates and prices travel with the load from the request to the invoice.
  • Everyone sees the same thing. Sales, operations and accounting work from one record, not three copies of it.
  • Nothing slips between tools. A proposal waiting for an answer or an invoice past its due date is visible, not buried in an inbox.
  • Faster replies. When the history of a client, lane and carrier sits in one place, a new quote starts from what you already know, not from a search through old emails.
  • A clean trail. If a claim comes in months later, the contract, the proof of delivery and the invoice are all attached to the same shipment.
  • Fewer logins. One system to learn, pay for and keep up to date, instead of several.

What Zaylo covers

Zaylo follows a load in the order the work actually happens. Here is what's included, in brief.

Winning the job

  • Requests. Every incoming transport request lands in one list, so nothing waits unseen in someone's inbox.
  • Offers. Carrier prices for each request are collected next to it, ready to compare.
  • Proposals. Send your client a proposal based on the offer you chose, and see which proposals are still waiting for an answer.
  • Contracts. Client and carrier contracts are created from your own templates once the job is confirmed.

Running the transport

  • Shipments. Manage loads one by one, or group several into a single shipment group.
  • Driver app. Drivers see the jobs assigned to them and report progress from their phone.
  • Consignee app. The receiving side gets its own view of the delivery.
  • Proof of delivery. Delivery proof is collected at handover and stored with the shipment it belongs to.

Getting paid and handling issues

  • Invoices. Invoices are created from the job data you already have, and overdue ones are flagged.
  • Reclamations. Claims for damage, loss or delay are recorded against the shipment they concern, next to its contract and delivery proof.

Automations

The routine follow-ups run in the background: reminders for missing carrier offers and unanswered proposals, contracts and invoices created automatically, and overdue payments tracked without anyone having to remember them.

Who it's for

Zaylo is built for small freight forwarders and brokers in the Baltics, where a handful of people handle sales, operations and paperwork themselves and need one place where all of it comes together.
