Meet Zaylo: the CRM built for how freight forwarders actually work

Requests, offer requests, proposals, contracts and invoices in one place, plus an AI agent that turns a messy inbox into structured requests. Zaylo is now in pilot.

A quote request lands in a forwarder's inbox. To answer it, they chase rates from two or three carriers across separate email threads, copy the numbers into a spreadsheet, write the proposal in yet another email, and save the shipper's documents wherever there is room. Multiply that by every shipment, every day, and the work becomes less about moving freight and more about managing email.

That is the problem we built Zaylo to solve.

One system for the whole RFQ flow

Zaylo is a CRM made for freight forwarders. It connects the three parties in any shipment, the forwarder, the shipper and the carrier, to a single system, and it pulls the request-for-quote flow into one place instead of a dozen inboxes.

Rather than tracking work across email, Excel and PDFs, a forwarder runs the whole chain inside Zaylo. Shippers and carriers join that workflow through shared links, so everyone is working from the same information instead of the latest forwarded message.

The flow, end to end

Zaylo follows the way forwarders already work:

  • Requests capture what the shipper needs to move.
  • Offer requests go out to carriers to collect rates.
  • Proposals turn those rates into a quote for the shipper.
  • Contracts and invoices build from the same data, so nothing gets retyped.
  • Tasks keep the steps in between from slipping.
  • Connection registries hold your shippers and carriers, so your network lives in the system, not in someone's contacts list.

Each document carries over from the one before it, which removes most of the copy-paste that fills a forwarder's day.

Emmy reads the inbox so you don't have to

The part forwarders notice first is Emmy, Zaylo's built-in AI agent. Email is still where most requests arrive, so Emmy reads incoming mail, identifies the request details, and creates a structured request in Zaylo from it. A message that used to mean ten minutes of copying becomes a ready-to-work request, no manual step in between.

Built for forwarders, not bolted onto a sales CRM

Most CRMs are built for sales teams. A forwarder who adopts one spends weeks on workarounds and custom fields before it fits how shipments work, and it never quite gets there. Zaylo starts from forwarding instead. The request, the offer, the proposal and the contract are first-class parts of the tool, not add-ons you force into a system meant for something else.

It also matches the size of your operation. You can add your whole team to one organisation or run Zaylo on your own. A solo forwarder and a large office get the same system, scaled to fit.

Now in pilot

Zaylo is in its pilot stage, and we are opening a limited number of early-access demos for forwarders who want to see it against their own workflow. If email threads and scattered spreadsheets are eating your day, this is a good time to take a look.
